Organizations that have been SendSafely customers for many years are likely to have created accounts for “users” that predate No-Login Service Accounts, but should really be No-Login Service Accounts.
To identify such an account, look for the following likely features:
- The account is named not for an individual, but for a team or workflow, such as support@yourcompany.com.
- The account owns a Dropzone used for collecting sensitive information.
- The account is logged into by multiple human users with a shared username and password (note that this also goes against our Terms of Service due to the pain points that it will cause).
- The account is not already a No-Login Service Account. In the Users tab of the Enterprise Console, service account icons have a small padlock.
For ease of use, data loss prevention, and the security of your SendSafely portal, it is best to convert these accounts to true No-Login Service Accounts, which can be managed by both SendSafely admins and non-admin Dropzone Managers going forward. In order to convert accounts to no-login service accounts, a SendSafely admin from your portal should email support@sendsafely.com with the name of the account in question requesting this update to be made. Our Support team will then action the conversion.
Once the account has been converted to a No-Login Service Account, you will no longer be able to log into that account directly.
To ensure that this does not disrupt any existing workflows, you’ll want to ensure that:
- All human users, who need access to submissions made to the account’s Dropzone, are individually registered in SendSafely and added to the Dropzone’s recipient list.
- The secure links to those Dropzone submissions are made available to all recipients on the Dropzone, either shared via email, posted to an integrated platform via a webhook or, from their SendSafely History page.
