Workspaces are created under an individual user account (the Workspace owner) and are shared with collaborators. When a Workspace owner's SendSafely account is deactivated, all their Workspaces are automatically archived and can no longer be accessed by collaborators. Therefore, Workspace ownership should be transferred to another registered SendSafely user as part of the user deactivation process.
Workspace Owners and Admins can conveniently transfer Workspace ownership in bulk to any other registered user by following the below steps:
Transferring as a Workspace Owner
Step 1:
From the Workspaces tab, select the check box alongside each Workspace requiring transfer, or select all workspaces by clicking the checkbox in the header row. Note that the checkbox is only available on Workspaces you currently own, Workspaces on which you are a collaborator, but not the owner cannot be selected. Next, click the Transfer button in the top right corner.
Step 2:
Choose the new target owner and complete the transfer. All selected Workspaces are now owned by the specified user. As the original owner, you will remain as a collaborator on the Workspace, with Manager role.
Transferring as an Administrator
Step 1: Impersonate the Workspace owner (Activity)
Bulk transfer can be performed for both registered users (pre-termination) and deactivated users (post-termination). From the Enterprise Console, locate the current Workspace owner in either the Registered Users section, or the Deactivated User section. Next impersonate the user by either:
- Registered User: click the three dot menu on the user record. Select the Activity option
- Deactivated User: Click the Activity button on the user's row.

Once impersonating the user's activity (as indicated by a yellow banner) click on the Workspaces tab.
Step 2: Select Workspaces for transfer
From the Workspaces tab, either choose the select all option in the header row, or individually select each Workspace to transfer. Next, click Transfer in the top right corner. Note the following:
- Only Workspaces owned by the impersonated user can be transferred. Workspaces on which the user is a collaborator, but not an owner cannot be selected.
- Workspaces in both active and archived state can be transferred, however state is not changed as part of the transfer process.
- Any archived workspace that is transferred will need to be restored to active state in order for collaborators to have access.
- All Workspaces are immediately archived when a user is deactivated.
Step 3: Specify new owner to assume ownership
As the last step, type the email of the new owner and click Transfer complete the process. All selected Workspaces are now owned by the specified user.
Decryption Keys
Due to the end-to-end encryption of Workspaces, transferring ownership does not automatically transfer the decryption key codes necessary to decrypt Workspace content to the new owner. Options for obtaining the decryption keys for a workspace are to request the secure link containing the key code from a collaborator, a trusted device key or a portal master key. In the absence of the decryption key code, Owners may still access the Workspace in a limited capacity. Owners without key codes can view metadata such as collaborators, activity logs and file names, but are unable to view or download any Workspace content.
